The Reset Privacy Notice

This notice explains how Grind Co. Baseball handles information for The Reset and its three optional AI coaching experiences. The section “Children under 13” is also our online notice for parents.
Who operates the service
Grind Co. Baseball operates The Reset. Privacy and parental-rights requests may be sent to coachbill@grindcobaseball.com. General support is available at info@grindcobaseball.com.
The AI coaching team
Coach Bill provides baseball mental-performance education and coaching. Coach Jordan is an optional general sports-nutrition education add-on. Coach Emily is an optional academic-coaching add-on. All three are artificial-intelligence systems, not people, and may make mistakes. They are not therapists, doctors, dietitians, teachers, guidance counselors, crisis services, or substitutes for a parent or qualified professional.
Information we collect
- Account and purchase information: purchaser email, membership and add-on status, transaction or subscription references, authentication identifiers, and support communications.
- Athlete profile: preferred first name, age, years playing baseball, positions, lesson progress, and limited coaching preferences.
- Coach Bill and journal: messages, AI replies, journal entries, lesson context, feedback, conversation continuity summaries, and safety signals.
- Coach Jordan: messages and AI replies that may include food habits, hydration, allergies, supplement questions, training schedule, digestive concerns, or body and performance goals if the user chooses to type them.
- Coach Emily: messages and AI replies that may include assignments, drafts, grades, study habits, citations, or learning preferences if the user chooses to type them.
- Security and device information: IP address, browser or device details, consent evidence, short-lived session identifiers, fraud-prevention signals, and operational logs.
We do not ask children to submit full legal names, home addresses, phone numbers, school or team names, student IDs, passwords, medical records, or personal information about other children. Users should remove those details before entering text. Rich file, photo, audio, and video uploads are disabled in the coaching experience.
Why we use information
We use information to authenticate members, deliver purchased lessons and coaches, personalize responses with limited relevant context, maintain conversation continuity, provide support, enforce usage limits, protect the service, investigate incidents, honor parent requests, and satisfy legal and financial recordkeeping obligations. We do not sell children's personal information or use it for targeted advertising.
Service providers and disclosures
We use service providers only for operating the service: Shopify and related commerce services for purchases and subscriptions; Memberstack for member accounts and entitlements; Supabase for application data and server functions; Anthropic and CloneForce for AI processing; Klaviyo for consent and safety emails; and hosting, security, and bot-prevention providers used by the website. Each AI coach receives the athlete's verified first name, relevant profile, goals, and compact coaching history so the experience remains personal across visits. The service uses a stable protected reference instead of exposing the member's email address or login identifier to CloneForce, and automatically removes common contact details, links, addresses, and long identification numbers from ordinary messages. Do not rely on that filter or type unnecessary identifying information into a coach chat. Service providers may keep limited copies under their own agreements and legal obligations. We may also disclose information when legally required or necessary to protect a person or the service.
Safety processing
Messages submitted to Coach Bill, Coach Jordan, and Coach Emily, including text created with voice dictation, receive automated server-side checks for signals such as severe distress, self-harm, abuse, or immediate danger. Coach Bill journal entries also receive an automated safety check. When a message indicates a serious concern, the athlete receives immediate direction to contact a trusted adult, call or text 988 in the United States, or call 911 if anyone is in immediate danger. A serious flag may submit a limited Klaviyo safety alert to the verified parent or guardian email on file, or to Grind Co.'s designated safety contact when no verified parent email is available. The alert includes a concern category and account reference, not the athlete's conversation text. The coaches are not emergency services and are not continuously monitored by a person.

We periodically review retained information and delete it securely when its stated purpose ends. A parent may request earlier deletion of child content.
Children under 13
The Reset uses a neutral age screen. Before an athlete under 13 may save a profile, journal, or use any AI coach, we require notice and consent from the parent or legal guardian who completed the membership purchase. The verification code is sent only to the purchaser email associated with the membership. The consent record includes the adult's name, purchaser email, child first name, timestamp, method, notice version, and limited security evidence.
One Version 3.0 consent covers The Reset and Coach Bill and also covers Coach Jordan and Coach Emily if the parent later purchases those optional add-ons. It does not buy or activate an add-on. A parent who consented under an earlier Bill-only notice must accept Version 3.0 before the under-13 account can use any coach or journal tool.
A parent may ask to review the child's stored information, correct it, delete it, refuse further collection, or revoke consent. We will verify the requester's identity and relationship to the account before responding. Revoking consent disables under-13 member tools and triggers deletion of child content subject to limited legal, security, billing, consent-evidence, or safety obligations.
Your choices and security
You may request access, correction, deletion, or consent withdrawal by emailing coachbill@grindcobaseball.com from the purchaser email. We use access controls, encrypted transport, restricted server-side credentials, short-lived sessions, and other safeguards designed to protect information. No system is completely secure.
Changes
We will update the effective date and version when this notice changes. If a change materially expands how an under-13 child's information is collected, used, or disclosed, we will provide a new parent notice and obtain updated consent before the changed practice begins.
